Sorting Data

You can sort any column of data in a report. Choosing a column to arrange its values in ascending or descending order will rearrange data in all columns appropriately. To show the sort buttons, from the Tools menu (or drop-down list) select Sort Buttons. The sort buttons are displayed.

Sort data on a report

To sort the report by a column:

  • Right-click on the column header
  • Select Sort, then select either Ascending or Descending.

A gray arrow at the top of a column indicates that the data in the column is not sorted.

  • If the gray arrow is pointing up, you can click it to sort the data in that column in ascending order.
  • If the gray arrow is pointing down, you can click it to sort the data in that column in descending order.

A white arrow at the top of a column indicates that the data in the column is already sorted.

  • If the white arrow is pointing up, it means the data is sorted in ascending order. If you click on it, the data will be resorted in descending order.
  • If the white arrow is pointing down, it means the data is sorted in descending order. If you click on it, the data will be resorted in ascending order.

Sort data by multiple columns

You can sort a report by up to three columns. For example, in the Collision Estimating Summary Report, you could sort first by Company then by Year.

  1. From the Data menu, select Sort....
  2. The Advanced Sort panel is displayed, select the Column button. Select the first column name to sort by from the drop-down list, and whether to sort it in ascending or descending order.
  3. Select the second and third columns (optional) as in the previous step. Click OK to view the report with these sorting selections.

Note: To delete Advanced Sort items, click “X” on the right side of each sort item. Additional rows will appear if all selections are filled, click and drag to reorder sort items.
