Filtering Reports Overview

While viewing a report, you can choose to show the Report Filter, the View Filter, or both. A Report Filter allows you to limit the amount of data that is included in the report. A View Filter allows you to further limit the amount of data that appears on your screen. While in View mode, you can use the Panels toolbar to display the View Filter, Prompt Details (Report Filter), Page-By Section, and/or Report Objects. The Panels toolbar contains icons that correspond to each of these panels.
To reveal the View Filter, Report Filter, Page-By Section and/or Report Objects while viewing the report:
- Click Tools, then select the appropriate icon.
- Click the icon corresponding to the panel you wish to display.
- To display the View Filter Section, click the View Filter icon.
- To display the Prompt Details, click the Prompt Details icon.
- To display the Page-By Section, click the Page-By Axis icon.
- To display the Report Objects Section, click the Report Objects icon.
The Report Filter is one or several conditions applied at the time the SQL is generated to return data from the warehouse.
- To display the Report Filter on a report in Design Mode, click the Filter icon. Report Filter Details button.
- To display the Report Filter on a report in View Mode, select Report Filter from the View menu. You can also click the Prompt Details icon on the toolbar to reveal a report's Prompt Details.
The View Filter is one or several conditions that return a subset of the data in the original report. For example, if the original report has all years shown, you could choose to show the current year only by adding a condition to the View Filter. If the report is in View mode, you can display and change the View Filter. If the report is in Design mode you can display but not change the View Filter.
To display the View Filter on a report:
- Click on the Tools tab.
- Select View Filter icon.
You can use the right-click menu to quickly filter on a specific template object.
- In View mode, right-click any object on your template.
- From the context menu, select Filter On.... The View Filter panel is displayed. Add conditions to the View Filter.

Note: You can change the View Filter only if the report is in View Mode.
Use this to further limit the information displayed in the original report. To do this:
- From the Data tab (or droplist), select Add View Filter Condition…. The View Filter is displayed. Or, if the View Filter is already displayed, click the Add Condition link.
- From the Filter On: droplist, select the object for which you will filter. Depending on the type of object you are filtering, a new set of choices appears:
- If attribute: choose whether to Qualify or Select from a list (or not in the list) the new condition. You can also click the Attribute link to compare to another attribute.
- If metric: choose the comparison method and type a value or click the Metric link to compare it to another available metric.
- Click the Apply icon to apply the new condition to the report. By default, the change is applied to the report as soon as you click the Apply icon.
If you want to make multiple filter changes and apply them all to the report at once, clear the Auto-Apply changes option. You must still confirm each condition, but then click the Apply button to have all of the changes apply to the report.
